**Your platform -> Billing** in your admin dashboard.

This is the one place that shows what your firm pays Propper for the platform. It
is about your subscription with us, not about what your traders pay you: that
money runs through your own payment account under Payments.

## Who can see it

The **View billing** permission opens the screen and everything on it. The owner
of the firm and any role that holds every permission have it from the start, and
no other role does until you tick it. Give it to a finance colleague and they can
fetch invoices for the bookkeeping without seeing anything else in the panel.

Changing something needs **Manage billing**: replacing the payment method and
editing the name, address, reference and tax ids on the invoices. It includes
View billing. Without it the page shows every figure and every detail, the
fields are read only, and a line says why.

The list of traders who count names people, so it also needs **View traders**.
Without it the figure and its line are there, and the list says it is not yours
to see.

## The top of the page

The billing period that runs now, then one sentence with the thing that matters
most: money that did not come in, a subscription that ends, or the amount and
date of the next charge and the method it goes to. On the right the status of
the subscription and **Export**.

While Propper runs Stripe in test mode the header says so, and no real money
moves.

## What you pay

Three figures that are the tabs of one chart. Each one keeps its own address, so
a link to the traders opens on the traders.

**Next invoice.** What Stripe charges at the next renewal, fetched each time the
page opens, with the date. The chart shows every invoice so far on the day its
period starts, and the next one at the end. Under it are the lines of that next
invoice, searchable and sortable by amount.

Until the last day and a half of the period the extra traders are not on the
invoice yet, so the screen adds them as a separate line at today's count, marked
as an estimate, and the figure says it includes one.

**Billable traders.** Only on a plan that charges per extra trader. How many
traders count today against the number your tier includes. A trader counts
while they have a challenge running, funded or suspended, and for 30 days after
their last one ended. A trader who signed up and never started a challenge does
not count. Staff never do: a member of your team with a role is never billed as
a trader.

The line shows the count for each of the last 90 days, read from your accounts
as they are now, with what your tier includes drawn across it once you reach
half of it. The number that ends up on the invoice is the one counted on the
invoice date, not today's.

Under the line is everybody who counts today, fifty at a time, with running
challenges first and then the traders who stop counting soonest. Each row says
how many challenges run or when the last one ended, and until which day the
trader still counts. Search by name, email address or id. A row opens the trader
in Users.

**Paid so far.** Everything paid to Propper since the subscription started, as a
running total per month, and what is still open. Under it every invoice, newest
period first, with its number, period, the day it was paid, its status and the
amount. A row opens the PDF as Stripe issued it, which is the copy for your
bookkeeping. Search by number, period or status, or sort by amount.

Every row has a menu on a right click with the ways to open it and to copy what
identifies it.

## Payment method

The column on the right, or right under the header on a narrow screen, starts
with what pays the invoices: the card with its expiry date, or the bank account
or wallet. It warns when a card has expired, when it expires before the next
invoice, when a payment did not go through, and when no method is on file.

**Add** or **Replace** opens Stripe's own payment form inside the page. It saves
the method for the next invoice and charges nothing, and the method it replaces
is removed from your account. The methods on offer are the ones Propper accepts
in your country. A card is saved straight away. If Stripe cannot be reached at
that moment, the form stays open with the reason and saving again finishes the
job without typing the card a second time.

A method your bank has to confirm first, such as a bank account verified with
two small deposits, shows under the current one as waiting, with a link to
verify the account when Stripe asks for that. The current method keeps paying
until then. Once the bank has confirmed it, the row offers **Use it**, which
asks before it replaces the current method, unless the new method already took
over by itself.

After a failed payment Stripe retries over the next days, and a new method is
used from the next try.

## Plan

What your plan costs a month after any partner discount, before extra traders
and tax, and the lines from your contract, each with how it is billed:

- **Monthly**: the platform tier and any add-ons, charged at the start of every
  month of the subscription.
- **Once**: a one-time fee, such as the setup fee of a profit split, on the
  first invoice only.
- **Per extra trader**: your tier includes a number of traders, and every
billable trader above that number is charged per month.

When your contract came with a partner discount, the monthly lines show the
original price struck through under what you actually pay. One-time fees never
carry the discount. Under the lines: when the subscription started, when it
renews or ends, the minimum term while it runs, and the discount.

The plan itself is changed through your account manager, never on this screen.
**Ask Propper** opens a conversation with us.

## Contracts

The contracts your firm signed for this plan, each with the day it was signed and
whether we countersigned it. A row downloads the PDF.

## On your invoices

What Propper's invoices say and where they go, saved with Stripe and used from
the next invoice:

- **Name**: usually your firm's legal name.
- **Invoices go to**: the address Stripe sends every invoice and receipt to.
- **Address**: printed on every invoice. The country decides which tax applies.
- **Reference**: one line on every invoice, such as a purchase order number,
with a name of your choosing.
- **Tax ids**: each picked from the kinds Stripe knows per country, up to ten new
ones per save. Stripe refuses a number that does not fit its kind when you save, and
checks EU, UK and Australian numbers with the authority afterwards. Each
number shows whether it was verified.

Changes collect in the bar at the bottom of the screen and are saved together.
Only what you changed is sent, so a colleague who changed another part at the
same time keeps theirs. If Stripe refuses one tax id, the ones before it are
saved and the form keeps the rest for you to fix. If Stripe does not answer,
the form keeps everything you typed for the next try.

## Export

**Export** downloads a CSV of every invoice, with its period, status, amount,
what is still open and the day it was paid. On a plan with a per-trader line,
and with View traders, it also downloads everybody who counts today, not only
the page on screen, with until when they count. Every export is written to your
activity log.

## Without a subscription

A firm that has no subscription with us yet sees that, and a way to ask us. Your
account manager sets one up together with your contract.

## In the older designs

On the Propper - OG and Tactical designs the page is read only and laid out as
panels: the plan with its lines and discount, the number of active traders
against the ones included, an estimate of the next invoice, every invoice with
its PDF, and a panel on the right listing what needs attention. The payment
method, the details on the invoices, the contracts, the list of traders who
count, the lines over time and the export are on the new design only.
